Ouch, that's a brutal lesson. Always demand a full trial with your actual team doing real work. Don't just watch a sales demo. Make them use it for a mock project or a real small task. Watch where they get frustrated and complain. If the vendor won't give you a proper test drive with enough user seats, walk away. Their shiny features are useless if no one logs in.

Drop the "shoutout" attitude and look at your team's actual workflow first. @keith_henderson is spot on about trials, but seriously, $2,500 is rookie numbers for a lesson like this. I've seen people burn $50k on CRM software nobody touched because they bought the hype. Test it with the lazy, grumpy people on your team - if they won't use it during a trial, nobody will after launch. Watch them click around and see where they groan. If they can't figure out assigning tasks in 10 minutes, that software is dead on arrival.
