Lost a major client after my project manager double-booked our whole team
Last Tuesday my PM accidentally scheduled three client deadlines on the same day. I didn't find out until 4 PM when the second client called asking where their deliverables were. I had to refund $4,500 and lost the biggest client we had in Portland. Now I'm switching to a shared calendar with color coding and mandatory Monday check-ins. How do you guys keep your scheduling from blowing up like this?

yo I actually just read a post on a business subreddit where someone said they use Monday.com with a shared calendar that has color coded warnings 48 hours before deadlines. saved their whole team from this exact mess. sounds like you're on the right track with the color coding honestly. but I'd add a rule where no one can accept a new project until the PM gets a written okay from the team lead that we actually have the bandwidth. your PM should have flagged that conflict way earlier, not at 4 PM the day of. also check if your PM is using something like Trello or Asana where tasks have dependencies and deadlines are visible to everyone. one guy in that post said he does a quick 5 min standup every morning just to go "hey what's due this week" and they caught three double bookings in the first week alone lol.

Add a shared inbox rule too, PM can't assign anything new without bandwidth clearance first.
