Our time tracker said 142 hours on a project that took us 30

Found this stat while digging through our agency's reports last Friday in Denver. We've been using the same time tracking software for 4 years and never questioned the numbers. Turns out one of our project managers has been logging time manually on a separate sheet and the software scheduled half the entries twice. We underbilled by about $12k on two retainers because of it. Anyone else ever catch their tracking tool double counting and how did you fix the billing mess?

Question whether that 12k was really a loss or just a credit you already gave clients through sloppy work elsewhere. Manual time sheets often hide overages, so the double counting might have balanced out against hours that never got logged at all. Either way, you need a full audit before you touch a single invoice, since fixing the wrong number could cost you more than the original error.
